The Situation

Entire Travel is a growing travel and hospitality company based in Australia. Like many founder-led businesses, the CEO was deeply involved in operations - including personally compiling the company's financial and sales reports every month. That meant extracting data from multiple systems, copying it into Excel, building charts, reconciling numbers that didn't quite match, and finally presenting a document that was already weeks old by the time it was ready. This wasn't a lack of talent or tools - the business had CRM data, booking system data, and revenue records. The problem was that none of it was connected. Every reporting cycle required a human (specifically, the CEO) to be the integration layer between systems. And when that human is also running a growing business, reporting becomes the thing that gets done at 11pm on a Sunday.

In travel, hospitality, and founder-led businesses, this is the norm rather than the exception:

  • Your reporting is done by a senior person who has much more important things to do

  • You have data in your booking system, CRM, and finance tool - but no way to see it all together

  • Every board deck or investor update requires a multi-day manual data compilation exercise

  • You're making growth decisions based on numbers that are 2–4 weeks old

  • You've looked at Power BI or Tableau but don't know where to start connecting your data

  • "We need to move faster but we can't see fast enough" - the business has outgrown its reporting infrastructure

If three or more of these describe your operation, you're looking at the right case study.

The Root Problem

  • 1

The CEO personally spent weeks per reporting cycle manually compiling data from three disconnected systems into Excel

  • 2

Sales, Revenue, and Customer data were in separate systems with no automated connection between them

  • 3

By the time the report was ready, the data was 2–4 weeks old - decisions were always based on lagging information

  • 4

The reporting process was entirely dependent on one individual, creating a bottleneck that couldn't scale with the business

  • 5

Leadership had no real-time view of bookings, revenue, or customer trends - visibility was periodic and retrospective

How We Fixed It

01

Connect all three data sources to Power BI directly

The core fix was technical: we connected Power BI directly to all three source systems - the booking platform, the CRM, and the accounting system - using live data connections. This eliminated the manual export-and-paste process entirely. Data now flows into the reporting layer automatically, without anyone having to initiate it.

Three systems. One reporting layer. No manual export required.
02

Build the Sales Analytics dashboard

The Sales dashboard replaced the weekly sales reports the CEO had been building. It tracks bookings by channel, agent, destination, and product type - with trend lines, period comparisons, and pipeline visibility. A regional manager can now open this dashboard at 7am and know exactly where sales stand without sending a single email.

03

Build the Revenue Reporting dashboard

The Revenue dashboard replaced the monthly Excel pack. It shows live revenue by product line, market segment, and booking channel - with automated period-on-period comparisons, margin contribution by segment, and flagging of underperforming lines. The monthly close that used to take days now takes a board meeting.

04

Build the Customer Insights dashboard

The Customer dashboard surfaces intelligence the business had never had access to before: customer segments by booking value and frequency, retention rates by origin market, repeat-vs-new customer mix, and lifetime value trends. This data existed in the booking system - it just had never been connected to a layer that could show it clearly.

What This Means For You

What this means for travel, hospitality, and founder-led businesses

If the most senior person in your business is still the one building reports, your reporting infrastructure hasn't kept up with your growth. The data you need already exists - it's in your booking system, your CRM, your finance tool. The gap is the connection layer. Power BI with live data connections is not an expensive or complex solution for a business of this size. It's a 4–8 week implementation that permanently removes a weeks-long manual process from your calendar. The CEO's time is the most valuable resource in a founder-led business - and it shouldn't be spent copying numbers into Excel.
